Six Microsoft 365 Gems You May Not Know About

Try out these hacks, tips and tricks…

1. Edit a PDF in Microsoft Word

It’s always been a nightmare to convert a Word doc to a PDF and even harder to take content from a PDF and edit it in Word. You can consider that particular struggle extinct. Microsoft 365 now has an integrated feature, allowing you to ‘save as PDF’. And even better still, if you need to copy anything from a PDF, you can convert it straight into a Word document, without the need to copy and paste (while simultaneously crossing fingers that the formatting stays in line). How’s that for a handy tip!

2. Real-time document collaboration with colleagues

No more waiting for amends from busy colleagues. With the real-time co-authoring feature on Word, PowerPoint, and Excel, you can all work from the same document, at the same time, and see each other’s amends live as they’re happening.

3. Insert a link to stored files instead of emailing huge files to co-workers

Linked to the above tip, you can write an email in Outlook and instead of attaching the file just insert a direct link to your file stored in your OneDrive or company SharePoint library (both included with Microsoft 365).  You’ll both be able to view and change the document at the same time and you change or revoke permission at any point.

4. Don’t get distracted by unnecessary email threads

Have you been added to an unwanted distribution list or an irrelevant email conversation and have an endless stream of emails come soaring into your inbox? ‘Ignore’ is a handy feature to automatically send unwanted email conversations straight to your deleted items. Find it in the ‘delete’ section of the menu ribbon at the top of your mailbox.

5. Schedule appointments effortlessly

Microsoft Bookings is a little known but useful app for booking appointments with clients. Features include viewing and coordinating meetings in the calendar, staff can access bookings, and you can manage your services page. Your calendar can be embedded into your website so customers can book in a time with you.

6. Create surveys, polls and quizzes quickly and easily

Microsoft Forms can help you create surveys to capture customer feedback or engage with employees – and it comes as standard with your Microsoft 365 subscription. It is a web-based tool, is really simple to use and you can automatically save all of the results into a document or spreadsheet.
